Please read these Terms and Conditions carefully before using the www.lincolnjazzcafe.co.uk website operated by Lincoln Jazz Cafe.
Your access to and use of the service is conditioned on your acceptance of and compliance with these Terms. These Terms apply to all visitors, users and others who access or use the service.
By accessing or using the service you agree to be bound by these Terms. If you disagree with any part of the terms then you may not access the service.AGE POLICYWe warmly welcome guests aged 14 and older, provided they are accompanied by an adult. However, we kindly request that all guests under the age of 18 exit the premises by 9 pm.For Jazz Events, guests aged 14 and older who have purchased tickets may stay past 9 pm if the event concludes after that time. Please note that all minors must be accompanied by an adult throughout the event.TABLE BOOKINGSDuration of Booking
- Standard bookings are allocated a two-hour time slot unless otherwise stated.
- Large group bookings (7+ guests) are allocated a three-hour time slot. If you do not intend to stay for the full duration, please let us know in advance—but the table is yours for the full time if you wish.
Grace Period & Late Arrivals
- A 15-minute grace period is allowed following your reservation time. If you do not arrive within this period and have not contacted us, we reserve the right to release your table to other guests.
- If you anticipate being late, please notify us as soon as possible via [our contact number: +44 1522 525 526 (during working hours)], or via social media or email. While we will do our best to accommodate late arrivals, we cannot guarantee that your table will be held beyond the grace period.
No-Shows & Cancellations
- Cancellations must be made at least 24 hours before your booking to avoid charges.
- No-shows and cancellations made less than 24 hours before your booking may result in a charge to cover lost business.
- For large group bookings (7+ guests), we require at least 48 hours’ notice for cancellations.
Deposits for Large Groups (7+ Guests)
- A deposit may be required to confirm bookings for groups of 7 or more guests.
- Deposits will be “authenticated” (held but not charged) and will only be processed in case of a no-show or late cancellation. Alternatively, deposits can be taken as pre-payment, fully redeemable on the night towards drinks.
- Deposits are non-refundable for cancellations made within 48 hours of the booking.
Service Charge
- We do not add a service charge to bills. However, gratuities are optional and always appreciated by our team.
Behaviour Policy
- Lincoln Jazz Cafe is a relaxed yet sophisticated venue. We kindly ask all guests to respect the ambience, staff, and fellow patrons.
- Management reserves the right to refuse service or request guests to leave if their behaviour is disruptive, disrespectful, or in violation of venue policies.
If you wish to make a booking, purchase tickets or any other product or service made available through the Lincoln Jazz Cafe service (“purchase”), you may be asked to supply certain information relevant to your purchase. Please see our privacy policy to understand how we use this information.
Under normal circumstances, any purchase through the service including those requiring a deposit is non-refundable and non-exchangeable.
When you purchase any of the pre-order items, it is non-refundable and non-exchangeable if cancelled within 72 hours of the event. You are entitled to a full refund, when you let us know over 72 hours before the event, unless we had to source a high value item especially for you. A ‘high value’ item is one that is listed at £50 or higher.When you make a booking, purchase tickets or any other product or service from Lincoln Jazz Café, you agree to receive from us event reminders, marketing materials and other relevant information about our products and services. You can unsubscribe at any point.
EVENTSAn event day is defined as any day where an event is published on our website or on our official Facebook page.Ticketing and Seating:- All tickets provide access to a table with chairs, allocated on a first-come, first-served basis.
- You may express seating preferences in the ‘notes’ section at checkout; however, specific seats are not guaranteed.
- Single ticket holders may be required to share a table with other guests.
- To be seated with another party when purchasing multiple tickets, please provide the other booking’s name in the ‘notes’ section or contact us via social media messengers or at mail@lincolnjazzcafe.co.uk at least 48 hours before the event. While we cannot guarantee this arrangement, we will endeavour to accommodate your request.
- Group bookings under one reservation are generally seated together.
- Tables reserved against a deposit are held for 15 minutes past the event’s start time, unless prior notification of late arrival is communicated and confirmed by us.
- Deposits are fully redeemable for drinks on the night of the event only. No refunds or credits are given for amounts not utilized.
- Deposits are non-refundable if you do not show up or are late by more than 15 minutes.
- Tables for Free Friday Live Jazz are reserved in two-hour slots.
- If there are no subsequent bookings, extended seating may be permitted at the discretion of the manager or events team.
- A grace period of 15 minutes is allowed after the reserved time; thereafter, the table may be offered to other guests.
- Cocktail hour offers are not valid on event days unless specifically stated otherwise.
- For events requiring a deposit or ticket purchase, cocktail hour offers are excluded.
- Exception: During “Friday Free Live Jazz,” cocktail hour offers are valid as usual. Although the event usually begins after 7 PM, cocktail hour will have concluded. Tables are reservable in two-hour slots.
• Lincoln Jazz Café caters to various private and corporate events
• Lincoln Jazz Café is available for private hire:
- Monday to Friday: Full day availability
- Sunday: Morning and afternoon only
- Saturday: Not available for private hire
• Maximum capacities must be strictly adhered to:
- 30 guests (seated with live music)
- 36 guests (seated without live music)
- 42 guests (mixed seating/standing without live music)
The deposit consists of two parts: a) and b)
a) Venue Hire Fee (where applicable) • Required for certain days (e.g., Fridays) or corporate events • Charged per hour • Non-refundable • Must be paid immediately to secure the booking
b) Minimum Spend Deposit • Required per person • Can be utilised in one of two ways:
- Applied as a discount on drinks purchased during the event OR
- Refunded after the event, based on total bar spend
- Full refund if total bar spend exceeds the minimum spend deposit
- Partial refund if total bar spend is less (only the amount actually spent will be refunded)
- No refund if bar spend is significantly below the minimum spend deposit
• All payments (venue hire, minimum spend, and additional services) must be paid in full 4 weeks prior to the event • Cancellation within 8 weeks of the event: no refunds • Additional services (welcome drinks, food, entertainment) must be paid separately and are non-refundable.
ACCESS & TIMING
- Event start time is when guests are expected to arrive
- Complimentary early access (30 minutes) granted for up to 4 people for setup/decoration
- Last orders: by 11:30 PM
- Venue closing: 12:00 AM
DECORATIONS & VENUE CARE
Prohibited items include (but not limited to):
- Glitter
- Loose confetti
- Tinsel
- Cleaning fee for prohibited items: £100-£400
- Property damage charges: £50-£5,000 depending on severity
FOOD & BEVERAGES
- Outside food and beverages are not permitted unless pre-arranged
- All catering must be arranged through our approved partners
- Minimum spend requirements may apply
CONDUCT & SAFETY
- The venue reserves the right to refuse entry or service
- Responsible drinking policies must be observed
- Fire exits and safety equipment must remain unobstructed
- Abusive or aggressive behaviour will not be tolerated
- Volume levels are at the discretion of management
- Live music arrangements must be pre-approved
- Personal playlists are permitted but must be receved and approved in advance, at least 1 week before the event
- Due to our insurance policy and premises license restrictions, dancing is not permitted on the premises
LIABILITY
- The venue is not responsible for lost or damaged personal property
- Event organisers may be liable for damages caused by their guests
- Proof of public liability insurance may be required for certain events
CANCELLATION
- Cancellations must be made in writing
- Deposits are non-refundable within 8 weeks of the event
- Force majeure conditions apply
ADDITIONAL SERVICES
- All external suppliers must be approved by management
- Additional services must be confirmed and paid 4 weeks before the event
- Service availability subject to capacity restrictions
- Pets are not permitted within the indoor areas of the Lincoln Jazz Cafe. This policy is in place to maintain a calm and enjoyable atmosphere for all our patrons.
- The unpredictable reaction of pets to live jazz music and amplified sounds through our speakers is a concern. We want to create a stress-free environment for both our human and furry guests.
- We understand that pets are cherished members of your family, and we encourage you to bring them along to enjoy the outdoors.
- Our outdoor seating area is pet-friendly and available during our regular working hours for your convenience.
- Exceptions During Events: Please note that during special events and live performances, our outdoor area may be temporarily closed to guests and pets.
Our Service may contain links to third-party web sites or services that are not owned or controlled by Lincoln Jazz Cafe.
We have no control over, and assume no responsibility for, the content, privacy policies, or practices of any third party web sites or services. You further acknowledge and agree that Lincoln Jazz Cafe shall not be responsible or liable, directly or indirectly, for any damage or loss caused or alleged to be caused by or in connection with use of or reliance on any such content, goods or services available on or through any such web sites or services.
CHANGESWe reserve the right, at our sole discretion, to modify or replace these Terms at any time. If a revision is material we will try to provide at least 30 days’ notice prior to any new terms taking effect.
